The first organization you create in Pondria starts with a 14-day free trial, with no credit card needed and every role to try. If the trial ends without a payment, Members and Managers become Viewers for a 30-day grace period, and an organization that is still unpaid after that is permanently deleted. Once billing is set up, Owners pay per person, per month, for the people who have joined in a paid role.
How the free trial works
Each person gets one free trial, on the first organization they create, and its 14 days start when that organization is created. Planning, the pipeline and the revenue forecast work as they do on a paid plan, and invitations are not limited by seats.
Everyone sees a banner at the top of the app that counts down the days, for example "Trial: 9 day(s) left". Only Owners see the "Add a payment method" button next to it, and they also get an email shortly before the trial ends. Adding a payment method during the trial ends the trial straight away and starts the paid subscription, so the first charge happens at that moment.
Once your trial is used, any further organization you create is paid for first on a secure Stripe page. It is created as soon as the payment completes, with one Manager & Owner seat for you as the owner.
Setting up billing
Only Owners see billing. It lives on the Billing tab of Organization settings. While the trial runs, a Free trial card at the top shows the days left and an "Add a payment method" button. Below it are these sections:
- Plan shows the billing interval. A switch between Monthly and Annual takes effect at the next renewal, and a promo code can be applied here.
- Seats lists the filled and open seats per tier, with an Estimated total for the next renewal before VAT.
- Payment & invoices holds the billing country and the payment button.
"Add a payment method" opens "Set up your subscription". Choose Monthly or Annual (Annual is the default and saves 20%), enter a promo code if you have one, then choose "Continue to payment" to add a card on Stripe's secure billing page. After the first payment, the same button reads "Manage payment & invoices". It opens the Stripe billing portal, where an Owner updates the card and views past invoices.
Set the billing country so VAT is applied correctly. Until it is set, invoices are issued without VAT.
What you pay for
Pondria is priced per person, per month, in EUR, excluding VAT, and billed per organization. See pricing for the current prices.
- Members pay the Member price.
- Managers and Owners both pay the Manager & Owner price.
- Viewers are free and take no seat. Read which projects a Viewer can see.
- People you invite are billed only once they join.
A seat added partway through a billing period is charged pro rata for the rest of that period. When someone leaves, their seat stays paid until the renewal as an open seat, and the next person who joins in that tier takes it at no extra cost. Open seats that are still empty at the renewal drop off, and the total goes down.
When an Owner invites someone and no open seat is left, a seat is added once that person joins. A Manager can invite a new Member only while an open Member seat is available.
When the trial ends without payment
A nightly check picks up trials that have ended without a payment. Until it runs, the banner reads "Your free trial has ended. Add a payment method to keep this organization running." Then the following happens.
- Every Member and Manager who has joined becomes a Viewer, and Pondria remembers their previous role.
- Every Owner keeps full access, so they can pay.
- Existing Viewers and pending invitations stay as they are.
- A 30-day grace period starts, counted from the day the trial ended.
During the grace period everyone sees a banner that cannot be dismissed, for example "Grace period: 12 day(s) until this organization is permanently deleted." Owners get a "Pay now" button, and everyone else sees "Ask your owner to add a payment method." People who were downgraded see "Your role has been downgraded to Viewer" on their Overview page, with a button to email the owner. Like every Viewer, they see only the projects an Owner shares with them, so at first no projects at all, and never any financial figures.
If a payment succeeds during the grace period, everyone gets their previous role back automatically, including the teams a Manager ran, and Owners get an email confirming that access is restored. If no payment arrives, the organization and all its data are permanently deleted when the grace period ends. Owners get an email shortly before that happens.
Failed payments and refunds
A failed card payment does not change anyone's access while Stripe retries it. If the subscription stays unpaid after the retries, the same downgrade to Viewer follows and a new 30-day grace period starts that day. A canceled subscription leads to the same downgrade and grace period, but Pondria cannot restart a canceled subscription, so the organization is permanently deleted when that period ends.
